Your pilots have not reached production. Your portfolio data disagrees with itself. Your board is asking what the AI budget returned.

# From AI pilot to production. Proven in real estate.

Enterprise AI architecture, agents ready for production and platform implementation for real estate operators and PropTech, from the first build-out to the recurring operation underneath it.

**Arcast** are **Digital Architects** who close the gap between AI ambition and working systems. We come in where it gets hard: where legacy blocks growth, where pilots have stalled, where others have tried and failed. **Real estate is our expertise**: portfolio data and core platforms, integrated, with the agents that do the work running on top of both. In production. In compliance. At scale.

## Does this sound familiar?

These are the bottlenecks we hear most often:

- Occupancy, arrears and valuation each have more than one answer, depending on which system you ask.
- New integrations come back quoted in months and tens of thousands, so the business has stopped asking for them.
- Your board pack and your statutory filings are assembled by hand, from exports, against the clock.
- Your IT partner knows the software and not the business, so rent flows and service charges get explained from scratch every time.
- Data quality stops every AI initiative before it reaches production.
- You cannot tell the board what last year's AI budget returned.

## How we work

1. 1

   ### A 30-minute working session

We go through your processes and systems with the people who would do the work. No presentation.
2. 2

   ### A fixed-scope first step

Three weeks to a working agent on your own data, or an assessment of your systems. Fixed price, and yours to keep either way.
3. 3

   ### Live in production

Agents running in your operation within 3 months, with logging, approval steps and handover to your team.

## Choose your challenge

Each page takes one of these apart: what it costs you now, what we change, and the engagement that does it.

- ### The board pack is built by hand

Senior finance people spend the back half of every period rebuilding numbers the systems already hold.

[Read more: The board pack is built by hand](https://www.arcastgroup.com/re/board-reporting)
- ### Nobody can prove the AI budget returned anything

Spend was approved on intent. With no baseline there is nothing to measure against, so the next request is harder to make.

[Read more: Nobody can prove the AI budget returned anything](https://www.arcastgroup.com/re/ai-roi)
- ### Integrations cost months and tens of thousands

The price of connecting anything new is high enough that the business has stopped proposing it.

[Read more: Integrations cost months and tens of thousands](https://www.arcastgroup.com/re/system-integration)
- ### Your IT partner does not understand the business

You pay for the time it takes to teach them, and the people who learned it move on after the sale.

[Read more: Your IT partner does not understand the business](https://www.arcastgroup.com/re/it-partner)
- ### No two systems agree on the portfolio

Every figure that reaches a board or a regulator gets reconciled by hand before it can be used.

[Read more: No two systems agree on the portfolio](https://www.arcastgroup.com/re/portfolio-data)
- ### AI pilots never go live

The budget is spent, the manual work carries on underneath, and nobody wants to fund the next one.

[Read more: AI pilots never go live](https://www.arcastgroup.com/re/agentic-systems)
- ### Critical platforms chosen on demos

The decision rests on the vendor's data, and the integration cost only becomes visible after the signature.

## Where this leads

Two routes. Most organisations need both in the end, but one of them is your first move. Take the first if your systems cannot agree on a number, because nothing built on top of them will hold. Take the second if the data is sound and it is the manual work that costs you. Either way you commit one stage at a time, each stage leaves you something you can use whether or not you go on, and nothing ties you to a platform we recommend.

### [Your operation on a unified architecture](https://www.arcastgroup.com/re/unified-architecture)

Assets, units, leases, tenants and contracts defined once. Your systems connected so the next tool is weeks of work, not a quarter. The core platform chosen on evidence from your own portfolio. Occupancy, arrears and valuation get one answer, and the integration quote stops being a reason to say no.

6 to 9 months to a running architecture, then a 12 to 24 month term underneath it.

1. [Architecture Assessment](https://www.arcastgroup.com/re/architecture-assessment) Start here3 weeks. Systems, integration debt, data model, shortlist.
2. Proof of conceptAn 8-week gated proof of concept on your shortlisted platform or target architecture, before you sign anything.
3. Build-outA composed architecture or a vertical platform, whichever the proof supports.
4. Managed ServicesWe run it under a 12 to 24 month term, if your team does not have the capacity.

### [Agents doing the work in your operation](https://www.arcastgroup.com/re/agents-at-work)

Production agents that read your source systems, reconcile the figures and prepare the work your team approves, inside governance guardrails. The month-end that took a week of senior people's time now takes minutes, with every action logged.

First agents live within 3 months, then a 12 to 24 month term underneath them.

1. [Agentic Readiness](https://www.arcastgroup.com/re/agentic-readiness) Start hereThree weeks. One working agent on your own data, or the reason there is not one yet.
2. [Agent Development](https://www.arcastgroup.com/re/agent-development)6 to 12 weeks. Two or three production agents, reporting first.
3. Managed ServicesWe run it under a 12 to 24 month term, if your team does not have the capacity.

## What makes us different

### The same team, strategy to production

M-shaped consultants: broad across disciplines, deep in several. The people in your working session are the people who design, build and operate the system. No rotating cast.

### Independent, because we do not resell

No reseller agreement pays us to reach a conclusion. Where real estate has a strong agent platform we implement it as one engine among several, and we tell you when a platform is not the answer to your problem.

### Built for production, not for the demo

Production-grade agents inside governance guardrails. Trust is earned in stages: read-only against your source systems first, a person approving every write once the agent starts to act, and routine work on its own only when its record has earned it.

### European enterprise trust

Based in the Netherlands. Data sovereignty, GDPR and the AI Act designed in from the start rather than bolted on, which is what matters when a regulator reads the filings your systems produced.

## What we have done in real estate

Three engagements, one for each step of the ladder, and what each one settled.

- ### Agentic Readiness, for a European property software vendor

Every new client was configured by hand, from knowledge in consultants' heads. In a few weeks we built a working agent against their live platform, using standards derived from their own past implementations. Their consultants judged the standard and output good enough to take over much of the work. They left with the agent, the evidence, and a rollout plan.
- ### Architecture Assessment, for a pan-European real estate organisation

A core platform was about to be chosen with no picture of what it had to fit into. We designed the target architecture first, then scanned the market against it: an independent shortlist with a cost range per option, where quotes for the same scope differed by a factor of three. The board got a shortlist it could defend and the figures behind its business case.
- ### Agent Development, for a proptech platform

Tenant and back-office agents on a live portfolio, connected to the property management and service ticket systems. Answers are benchmarked before release and monitored after, each agent sees only what the person asking may see, and GDPR and the AI Act are designed in. Tenants get answers at any hour; the team gets the exceptions and a record of every action.

Three starting points, one discipline: prove the output on real data before building the plumbing, keep what the existing systems can carry, and the same people from first session to handover.

Based in the Netherlands and built for European enterprises: data sovereignty, GDPR and AI Act compliance from day one.

## Book a 30-minute working session

Thirty minutes on your processes, with the people who would do the work. You leave with two or three processes worth automating inside a quarter and the reasoning behind each one. If we are not the right people for it, we say so.

Independent. We recommend what works, not what we sell.
